Your access
Your venue’s rules and setup — the schedule generator follows them.
Venue rules
Only the Owner can change the country and currency.
Opening hours
Clock-in location
Staff can only clock in or out while they're actually at the venue — set this once, standing inside or right outside it. We never store exactly where a staff member is, only whether they were close enough at the moment they tapped the button.
Managers
API keys
Let an outside dashboard or tool read this venue's published rota, timesheets and wage tracker hours (which include draft shifts). Only you, the Owner, can see and make keys; a key never reads pay, rates, pounds, contact details or sick days. How the API works

Roles
Set each person's role in Team. Shift slots in Templates and Events can then ask for a role (a bartender, a chef…), and the generator only puts people in slots their role fits. Nobody has to change anything — people with no role set count as Servers.
Manage the role list
Departments
Floor, Bar, Kitchen, Management and Other are built in. Add your own (for example Events or Spa): give it roles in the role list above, put people in those roles, make templates for it, and limit a manager to it in Managers → Access. A department can be deleted once nothing uses it.
Closed days
Days the venue is shut (Christmas Day, 31 Dec…): one date, a range, once or every year. On a closed day the Schedule says “Closed”, the generator puts nobody on a shift and nobody’s fixed weekly pattern shows. A shift already saved on that day stays, outlined in red, until you clear it. An event on a closed day opens it for that event only.
Let's get the basics in — this takes a minute.

Zones
Areas you assign shifts to, like "Bar" or "Rooftop" — optional, you can skip this and add zones later.
How many people you need, by day, time and zone — each template starts on a date you choose.
⇪ Import from file, above, uploads a photo, PDF or Excel/Google Sheets export of your existing rota and pre-fills a template for you to check and save.
Everyone you can schedule, and how fixed or flexible their week is.
Holiday, day-off and shift requests — approving one changes that day on the schedule.

Payroll
Payroll is for the Owner and for managers the Owner has given Payroll access to. Ask the Owner to switch it on for you in Managers → Access.
